How to send canned responses from your iPhone

Search “canned responses iPhone” and half the results explain Respond with Text - the tap-to-decline-a-call feature. That’s not what most people are after. The real need is a library of reusable replies you can send from any app, in a conversation you’re already having.

iOS has no built-in feature for that. Apple’s Text Replacement comes closest, and it is abbreviation-only with no list to browse. Here’s how to get the real thing.

What a canned response actually needs to be

A canned response is only useful if it’s:

• Reachable where you’re typing. If you have to leave the conversation to find it, you’ll retype it instead. In practice that means a keyboard that holds the replies.
• Browsable. You will not remember the abbreviation for the reply you wrote in April.
• Not quite fixed. Names, times, addresses and prices change; the other 90% doesn’t.

That third point is where most canned-response setups die. People copy one reply into eight near-duplicates, and then eight things need editing when the price changes.

Setting up a library that lasts

1. Install Fast Reply and save the replies you already send - start with five, or install a ready-made pack for your line of work.
2. Enable the keyboard: Settings › General › Keyboard › Keyboards › Add New Keyboard › Fast Reply.
3. Tap the globe key in any app to switch to it, then tap a reply. (If the keyboard later disappears after an iOS update, here is why, and the 20-second fix.)
4. Put a blank wherever the wording changes:

Thanks for the note! Our rate for [service] is [price], and the next opening is [day]. Want me to book it?

Fast Reply asks what goes in each blank as you insert, so one response covers every enquiry and nothing goes out with [price] still showing.

Keeping fifty of them in order

• Folders inside folders - by client, service, channel or stage of the conversation.
• Smart collections - recently used and most used, without filing anything.
• Randomised wording - let a reply vary its phrasing so the tenth person this week doesn’t get a message that reads like a form letter.
• AI Assist - reword one warmer, shorter or more polished in a tap, on device on supported iPhones.

If more than one person answers

Canned responses go wrong fastest when a second person is involved and everyone has their own slightly different version of the truth. A shared library fixes that: up to five people answer from the same approved wording, and one person keeps it current.
